Clubs & Sessions

Recurring clubs, a session for every meeting, and a register that takes seconds.

A club is the thing that meets every Tuesday for a term. Creating it once produces a session for each meeting, so the register is already waiting rather than being rebuilt each week. Enrolment carries across the term, and a student who joins in week four is enrolled from week four rather than retrospectively.

Each session takes its own attendance. Present, absent, and the reason if you record one. The pattern that follows is the point: a student who has missed four in a row is visible to the person running the club, in the week it matters rather than at the end of the year.

Sessions feed the same reporting as everything else. Participation by group, by period and by classification, so a club's attendance and a trip's attendance are the same kind of number and can sit in the same report.

A term of registers also answers the question a school gets asked every year: which students are involved in nothing at all. The list falls out of the attendance you already took, and it arrives early enough in the year for somebody to do something about it.

Nothing about a club is priced per student. A club of eight and a club of eighty cost the same, because a school should never be choosing between including a year group and controlling an invoice.

How it works

Three steps

  1. Create the club

Name it, set the pattern, and the sessions for the term are generated.

  2. Enrol members

Individually or by group. Enrolment carries across sessions instead of being re-entered.

  3. Take the register

A few seconds per session, and attendance flows into participation and reporting.

Questions

Questions people ask

What happens when a term ends?

The club and its sessions stay as the record of what happened. A new term is a new set of sessions rather than an overwrite of the old ones.

Can a student join part way through?

Yes. They are enrolled from the session they joined, so their attendance rate is not damaged by weeks before they were there.

Do we have to take the register every week?

No, but the reporting is only as good as the registers behind it. A session with no register is a session with no participation recorded.

Can somebody else run the register?

Yes. Any admin in your organisation with access to the club can take it, including from a phone at the session.

Are club hours volunteering hours?

Only if the club is classified as volunteering. A football club is enrichment participation, and it stays that way.
