A sign-up sheet is a list of slots people claim themselves. You set the slots, share the link or list the sheet on your profile, and the sheet fills in without anyone copying names between messages. Claims are visible to you as they happen, and a volunteer can release a slot they can no longer make.

Guest sign-ups let somebody claim a place with a name and an email and nothing else. That matters for the parent helping at one event, the colleague who came along, and everybody who would abandon a form rather than create an account for a Saturday morning.

The controls are there for the sheets that need them: an access code so only your people can claim, a quantity limit per slot, a restriction to a group, a date after which claims lock, and your own wording on the confirmation.

A sheet is not a form that empties into a spreadsheet somewhere else. It is part of the same record as everything else here, so the people who claimed a slot are people you can message, group and report on, and the attendance you take on the day lands on their records rather than in a separate file.

    A link, a QR code on a poster, or a listing on your organisation profile.

  3. Watch it fill

    Claims appear as they happen, and you can message everyone who claimed without exporting anything.

Questions people ask

Can somebody sign up without an account?

Yes, with guest sign-ups. A name and an email is enough. They can still be given a record later if they create an account with the same address.

Can we stop the wrong people claiming a slot?

Yes. Restrict the sheet to a group, or put an access code on it, or both. A sheet that is not listed publicly is only reachable by its link.

What if somebody cannot make it any more?

They release the slot themselves and it goes back on the sheet. You do not have to unpick it by hand.

Can a slot take more than one person?

Yes. Each slot carries a quantity, so a sheet can be four people at nine and two at eleven.

Do sign-up sheets count towards hours?

Claiming a slot is not an hour. The hours are recorded when the work is done and approved, through attendance or the Experience Log.
